Our team of 110 (and growing) is already truly global. Our head office is in London but the majority of the team is based in beautiful Cape Town. We also have an office in New York plus team members based across Europe and Asia.

What you will do in the role

Prodigy Finance is constantly growing and we're looking for an Office Manager who will play a vital role when it comes to keeping our Cape Town office in working order and readily equipped! You'll be responsible for a variety of tasks, from the daily office management tasks to implementing procedures and systems, organising supplies, managing & planning corporate events, to helping onboard new team members.

Key responsibilities are to:

  • Serve as the go-to person for all office needs
  • Maintain a clean, organised, functional and comfortable office space
  • Maintain facilities and liaise with landlord and other office vendors
  • Order and manage office and kitchen supplies
  • Ensure proper maintenance of all office equipment
  • Coordinate events (e.g. meetings, picnics, birthday celebrations, lunches) and travel arrangements
  • Perform administrative duties (filing, shipping, distributing mails, etc.)
  • Support on-boarding and off-boarding process for team members
  • Work closely with the London team on various matters ensuring proper documentation and timely communication
  • Maintain a welcoming atmosphere as our culture representative
  • Assist (where necessary) with the managing and maintaining executives' schedules, appointments and travel arrangements
  • Review operating practices and implement improvements where necessary

Who we are looking for; track record must haves

  • Office administration and / or executive assistant experience
  • Demonstrable track record in a role where you have taken responsibility for building and maintaining (to a very high standard) administrative systems as well as interact with a wide range of people, internally and externally
  • Proficiency in Microsoft Office, Google apps, and other web applications
  • Broad tech savviness and a proven ability to problem solve IT issues (with support)
  • Organisational and planning skills
  • Great communication skills – specifically able to manage time zone differences
