We are looking for an Office Manager to organize and support office operations by maintaining office systems and supplies.

The ideal candidate will be experienced in handling a wide range of administrative support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.


You will be working full time and based in our Lisbon office, but providing assistance to other locations, namely Porto and Coimbra. You will be part of the Operations team, reporting to the Operations Director. Since that you will be managing different administrative tasks, you are incredibly organized and meticulous.

Your day–to–day

  • Serve as the point person for building maintenance, mailing, supplies, equipment
  • Answering or referring inquiries through phone and or email
  • Help prepare for and set up special events and business meetings
  • Be at the front desk welcoming clients and other visitors with a warm and inviting attitude
  • Partner with Finance to provide assistance with corporate housing search to all offices
  • Partner with HR to maintain office policies as necessary
  • Organize office operations and procedures
  • Coordinate with IT department on all office equipment
  • Manage relationships with office related service providers (e.g., office cleaning services)
  • Control and document lobby activity on a daily basis
  • Maintain office security by following procedures and issuing visitor badges
  • Be the local office guardian making sure is tidy and looking beautiful

Your know how

  • At least 1 year of experience as an office manager
  • Exceptional customer service and organizational skills
  • Ability to multi-task and to work in a fast-paced environment
  • Fluency in English (mandatory)
  • Good skills in MS Word, Excel
